How To Effectively Track Training Data

Congratulations! You put together your comprehensive training/coaching program, you onboarded your clients, they are happily consuming your content and learning like never before. You have successfully launched your first virtual or blended program…. Now what?

Launching a program is only the first step in delivering an effective online learning experience. Just like in a workshop, conference, or IRL professional training, content delivery is only a part of the program. Imagine delivering a training live: as the facilitator, you would be checking in with your learners, asking questions, and actively tracking their comprehension. Then you would adjust the content and instruction to meet the learners and their needs, thereby making sure to maximize your impact.

So how does this play out with an LMS or LXP?

Content delivery on any online learning system without data tracking, can be a partial or ‘hollow’ experience. These two critical parts complement one another. It’s particularly key to track not only how learners are completing things, but also how they are engaging with the content, themselves, and each other. How are our learners connecting, practicing, and reflecting? Suppose you are not properly tracking your training data. In that case, you are missing out on valuable insights that could allow you to streamline your training and coaching better and offer more valuable content and experiences.

Measuring and tracking the efficacy of training programs, can help you become more strategic. When planned strategically and thoughtfully over time, tracking the right engagement metrics makes it far easier to tie your programs’ outcomes to job performance. This in turn allows you to measure the return on investment for the programs themselves.

Low productivity, inefficiency, poor customer service, high turnover, low-quality service, and subpar product outputs can result from mediocre or generic training. Tracking learner progress, understanding training outcomes, reviewing learning materials, creating reports for management to review, and providing an overview of staff training requirements facilitate high quality and targeted training. This is what is possible with a learning management system such as DreamSeeDo (DSD).

Automation of Tasks

A learning management system (LMS) automates time-consuming operations like data collection, reminders, and performance results. Even with a small training group, managers must have easy access to: attendance, progress tracking and most importantly course engagement. Furthermore, they need to be able to easily contact their learners and engage them with the material - ideally all within the same elegant system.

In a single dashboard, on DSD for example, you can immediately track high level progress, dive deep into individual responses, message groups or individuals directly (including teams, cohorts and a targeted course), and generate tracking data to report these metrics. Instead of having to do each task individually and deal with clusters of clunky isolated systems, you can automate these tasks significantly, thereby cutting down on time and increasing learner engagement.

Not only this, but DSD also offers the capability to automate custom triggered reminders for steps, courses, and live events. By reaching out directly to your learners, you gain the ability to encourage them to stay on task and keep coming back to your course with little effort on your part.

Track Course Activities

An LMS with a robust reporting system, allows you to examine course data and activity at the group level as a whole, as well as any individual user's behavior.

These course insights help track the progress of all learners enrolled in a program, with flexibility on how that data can be visualized and viewed. An effective report will show when a learner enrolls in a course, when they last accessed it, whether or not they have begun taking it, and how they are engaging. It is also easy to keep track of who has completed a course or received a certification!

In using a dashboarding system on DSD for example, you can easily view all participants in a course, track their progress, view their responses (no matter what type they choose), and then drill down into individual responses with the click of a button. With an LXP designed in this way, you can gracefully transition from a 10,000 ft view of your learner’s progress, down to the nitty gritty details of their responses and activities within the course.

Having this immediate and easy access to both the Macro and Micro aspects of learner activity is something that can’t even be found in a live learning environment. To further amplify these outputs, it’s important to be able to generate reports off of all this material, so if you need to utilize csv or excel versions for internal reporting or live experiences, you can do it with a single click of a button.

Learner Engagement

A strong data dashboard dives deep into learner progress and engagement. We have learned over years of operating an LXP and working in the training and coaching industries (both online and in person), that the more that we can understand learners, the better our programs become.

To support this DSD offers reports on:

  1. Course engagement - easily view how often your learners are logging in and engaging with your course. Track progress and easily reach out to learners who are lagging or struggling with the material to make sure no one is left behind.
  2. Community engagement - along with dynamic dashboarding, you can swiftly generate reports on how often learners are engaging with each other. Create a vibrant and engaging online learning community by measuring what types of responses garner the most interaction from and between the learners. This allows you to create or enhance prompts and content that encourages your learners to engage with each other and have fun while learning!
  3. Response types & metadata - Dream See Do’s Digital Learning Flywheel™ is an exclusive feature set that allows you to give a prompt for any exercise, and up to 8 different ways for learners to respond (video, audio, text, doc, image etc). This unique feature empowers admins to codify learning work products (artifacts), and to track true engagement, unlike any other system. With this capability, you can generate reports not just on the content of the responses, but also the types of responses that are used. This gives you invaluable information about the effectiveness of your content, the exercise prompts and the response types chosen for each assignment. This matrix of metrics provides you with insights into how your learners like to use the platform (through their response choices and reflections), and how they are performing with their practice outputs.
  4. Feedback Collection - In-app surveys or interviews offer you an opportunity to harvest rich feedback from your participants. Easily generate in-app forms or embed external forms to garner in-depth quantitative and qualitative data that can then be used to generate feedback reports. Using this feedback to make adjustments will significantly benefit the majority of your learners, not just a select few. Incorporate feedback to make learning more intelligent and less complicated. This method of creating and customizing your LMS will result in a learning experience well-liked by trainees and departments across a corporation.

Your Learning Management System may be great, content-rich, and easy to use, but if you are unable to understand if it's helping you achieve your learning objectives, it’s almost impossible to convey the value of your program and how your training programs affect outcomes. As a result, any LMS must have mechanisms for recording and reviewing data to determine whether learning and development objectives are reachable and met.
